III. Creating Holdings & Item Records
1) Holdings: Click "Get holdings" to open holdings record created by Acquisitions
2) Change Location if needed; Location code should be “Music Lib,” unless the call number begins with M1-M2.3, which are located in the Stacks.
3) Insert Call Number to Holdings Record from Bib Record by clicking "Record" "Get Call Number from Bib record"
4) Single and MultiVolume Title (852 and 866 fields fields)
a) Indicator 1 in the 852 fields should be "0"
b) For single volume works, 2nd indicator should be 0.
c) Multi-volume works (NOTE: scores with parts are considered single volumes):
i) Fixed field value should be set to ‘v’.
ii) 852 2nd indicator should be 1
iii) Create an 866 field stating which volumes we hold. (e.g. “866 41 $8 0 $a v.1-v.2”)
iv) If we do not hold all volumes included on the record, precede the holdings statement with the following 866 field: “866 41 $8 0 $a Incomplete holdings”
5) Item: Create an item record for each volume.
a) Scan the barcode number in the “barcode” field. Place one barcode label on the left bottom part of front cover, approximately 1 in from the left side and 1 in from the bottom of the cover.
i) If the item consists of a single score, place the second barcode label on the bottom of the title page verso, or at the bottom of the first page of music.
ii) If the item contains multiple parts, place the second barcode label on the first part.
iii) if the item contains more than one part, type and print the OCR number (digital part of barcode) for all parts
b) Verify that the permanent location is “Music Lib” (or “Stacks” when appropriate) and the item type is “Score.”
c) Enter enumeration/chronology information as necessary.
d) Set the piece count. The score counts as one piece, and each part counts as one piece.
6) Call up the record in the OPAC to verify that everything (especially holdings information) looks right.
7) Pass to Catalog Librarian for review (copy cataloger in training.)
8) Place cataloged materials on the Physical Processing shelf.
