Monograph withdraw procedures
1. Search book by title on Voyager
2. Go to item record. Check accession number to make
sure you have correct record.
3. Click on "Edit item Status" button in lower left
hand corner of the item record screen. Verify charge
status. If book says overdue go to step 4. If not charged
go to step 14 . If book says charged give to Connie.
4. In the lower half of the box choose Withdrawn and
click the up arrow to apply status. Close box.
5. Change Perm. Loc. to "Suppressed".
6. Save and close.
7. On MFHD change location to Suppressed and remove
call number. Save and close
8. On Bib record click the leader button and change
Record status to d: Deleted record.
9. Click on system tag and check Suppress form OPAC.
10. Change 245 to have Deleted Record (two dashes) before
the title. If the title starts with an initial article
change 2nd indicator to 0 and delete initial article
so you have Deleted record handbook... instead of Deleted
record a handbook so the titles will index in alphabetic
order like in a title search except you have to type
deleted record before the title. This way if we
ever need to look something up we can search same as
we would a title with exception of Deleted
record.
11. Delete all variable fields except appropriate call
number (e.g. 050, 090, 099), 1xx, 245 and 260.
12. Add a 999 Overdue more than 1 yr.
13.Save and close.
If you delete the only copy or volume of a book cancel
holdings from OCLC.
Count on statistics under Titles Withdrawn.
14. When a book is not overdue and is not charged delete the item record.
Exceptions: If there are out standing fines it will
not allow you delete item record. You will need to treat
it the same as if the book is Charged. See steps 3 6.
If the book says "Charged" or has been recently returned
AND does not say Lost Library Applied give to Connie.
15. Delete the MFHD unless a PO is attached. If a PO
is attached change to Suppressed location and remove
the call number. Save and close.
16. On Bib record click the leader button and change
Record status to d: Deleted record.
17. Click on system tag and check Suppress form OPAL.
18. Change 245 to have Deleted Record (two dashes) before
the title. If the title starts with an initial article

If you delete the only copy or volume of a book cancel

Count on statistics under Titles Withdrawn.
If you have more than 1 copy of a book or a mufti volume.
When you have more than 1 copy of a book delete only
the item and MFHD according to appropriate instructions
above. Make sure you have the correct accession number.
Do not do anything to the bib record. Do not cancel
OCLC holdings.
When you have a volume of a set: Deleted or Suppress
the item record. Correct the holdings on
the MFHD. Do not do anything to the bib record. Do not
cancel OCLC holdings.
Count on statistics under Volume Withdrawn.
