Procedure Overview


Search for a provisional (order) record in Voyager:

(1) If  provisional record is a full (blank or I) or core (4) level OCLC record,  compare record's information with  item in hand, edit record if needed and update it in Voyager.

(2) If provisional record is less than core level, go to OCLC Connexion.

Search for copy in OCLC Connexion:

(1) If no copy is available, give item to Catalog Librarian for original cataloging.

(2) If copy has an ELv1 of K or M, also give item to Catalog Librarian for enhancement to full level record (copy cataloger in training), or enhance record to full level standard (experienced copy cataloger)
 

Edit OCLC copy:  Verify descriptive fields against item in hand, determine if access points are appropriate, and check or formulate call number. When finished, print edited record and give print out to Catalog Librarian for review (copy cataloger in training), or proceed to the next steps (experienced copy cataloger).

Update holdings and export OCLC copy and label(s) to Voyager.

Save record to Voyager. When editing  is completed, make sure that the control number in the OCLC record matches the control number (035) in the existing provisional record in Voyager.  If provisional record's control number (035) does not match the control number of the edited OCLC copy, copy the 035 field of the OCLC copy and insert it to provisional record above the existing 035 field; save the OCLC copy in Voyager (the system will overlay provisional record.)

Headings validation.  When record is saved, Voyager will determine if the record's access points are authorized.  If headings is not authorized, leave it as is (the LTI will perform authority work).  If you think that controlled fields have error(s), check OCLC authority file, or give a copy to Catalog Librarian to perform authority work. However, always check a series authority record in Voyager to determine a treatment of the series.  If Voyager does not have this series record, search OCLC and download the authority record if found.

Create holdings and item records.  Open holdings record created by Acquisitions, or create a new holdings record if no Acquisitions holdings record exists.  Insert Call Number from Bibliographic Record using Voyager command and Location:  "Music Lib" , or "Stacks".  Update holdings record. Input correct number of parts for multipart items in Item record.

View record in OPAC. With editing, exporting, verifying, and holdings and item records created and complete, search for record in OPAC to determine that cataloging data is indexing and displaying correctly.
