Seminar Room Use Policy

The use of seminar and meeting rooms at Ablah Library must be related to the Libraries or the University some way.  Rooms are not available for regularly scheduled classes and standing reservations are not accepted for regular meetings, except for use by Libraries faculty and staff. 

The two seminar rooms (224 and 225) may be reserved for a maximum of four hours by students, faculty, and staff who have a valid WSU ID card.  Rooms 204 (meeting room) and 217 (computer classroom) may be reserved for use by Libraries faculty and staff only.

Rooms 224 and 225 have laptop/tablet computers, wireless projectors, DVDs, VCRs, cable TV, and teleconferencing equipment.  To reserve any of this equipment, individuals who reserve the rooms must have a certificate of training from University Libraries on file.

Short training sessions to use the equipment are provided by the University Libraries Systems Department by appointment only.  Individuals who complete the training, and are on file at the Circulation Desk, may reserve the room/equipment via the online request form or at the Ablah Library Circulation Desk. 

Email requests for reservations must be made at least 24 hours in advance, and up to one month in advance.  The first request received will be honored.  Reservations are not considered valid until the person making the reservation receives an email confirmation from the Libraries staff.  Early reservations are encouraged to allow time for the required training session, and to ensure that the desired room will be available.

A scheduling calendar for all rooms is located on the Libraries' Website at http://libdb.wichita.edu/scheduling/index.php.  Individuals who wish to reserve rooms 224 or 225 may check the calendar for availability by date and submit the Web reservation form found at http://library.wichita.edu/circulation/res_form.htm.  All Circulation Desk staff have authority to add and delete reservations from the calendar and will reply via email within one working day.

Food is not permitted; however, exceptions can be made by the appropriate department head or associate dean.  The group using the room is responsible for setting up, taking down, and cleaning up.  Rooms and equipment are expected to be left as they are found.

Users must sign an agreement accepting full responsibility for the room, equipment, and software before checkout out a room.  All reservations must begin no earlier than one hour after the Library opens and end at least two hours before the Library closes.  For a list of the Library's hours, visit http://www.library.wichita.edu/hours.html or call the Hours Line at 978-3481.
